How to Set Up Your Company G Suite Account
Intro
The introduction of cloud and email services like G Suite has eradicated the need for expensive investment in hardware to support services like email, file sharing and even the need for licensing for productivity software.
G Suite has the the areas of communications, file sharing and productivity covered.
In this post, I share how you can set up an email account in G Suite with your company’s own domain.
In this example, I will be using this website’s domain bernardosbagofbeans.com
Choosing a Plan
The first step would be choosing a plan suitable for your business. There are 3 plans to choose from:
- Basic;
- Business, and;
- Enterprise.
Depending on your specific needs, the best value would be the business plan. However, I would suggest comparing the plans before making a decision.
Remember: Google allows you a 14 day period to test their service.
The Set Up
Getting started
The next few steps allow you to set up your G-Suite account. This will include the business name, the number of people in the company and the locality.
I have chosen between 2-9 people in the organization and I’ve indicated Papua New Guinea as my country.
Contact info
The next step is to enter your contact details. This information would be used to create your administration account. The main thing here is to ensure that your email is a current and valid address.
When this is complete, you will then be asked to set up the domain. I already have a registered domain – but if you don’t then you can either buy one or create a free one.
Domain
The next few steps all relate to setting up your domain. As I mentioned, I already have a domain which I will be using for this example.
If you are thinking of using a .pg country top level domain, then I suggest contacting the country’s Domain Name Registry at the University of Technology in Lae before proceeding.
Registering a new domain with them will cost K300 with a biennial renewal fee of K100.
Enter the domain
In the example below, I use bernardosbagofbeans.com as my domain.
Verification
The next step is just a verification exercise. If you have multiple domains registered then you would the option to choose. Or you could use one of the options presented earlier.
Once this is complete, you will be asked to ‘Share great ideas with Google’. I have opted out since this is just an example.
Super Admin
This next step allows you to create a super administrator account. Now, for the Windows users this option is not really available – but Linux users should be familiar with this.
In this example I am using admin as the super admin account. You can set it to whatever you like.
All done – but there’s more!
Once you’ve completed the previous step then your are done. However, you will still have to create user accounts, assign services etc.
Users and services
The next step is to create users. This can be done using the wizard (default) or you can do it manually.
Now, I’m going to skip the next few steps as jump straight to the domain verification bit.
Domain verification
This final step is an integral part of ensuring that you receive your emails. This is where you verify your domain and set up an MX record.
A mail exchanger (MX) record identifies the server responsible for accepting emails on behalf of a domain name. In this case, we are going to be using Google.
Now, I will not go through the process because it varies depending on where you registered your domain i.e, who is hosting your domain. However, I have included links below to a few popular hosting services:

Conclusion
As I mentioned in the introduction, cloud services offer services that would normally be costly to set up especially with infrastructure.
There is also the added benefit of reduced maintenance cost and man power which is a bonus for most organizations. However, if your organization contains sensitive data that requires storage within country – then you might look at other alternatives.
